Are you an experienced Executive Assistant, motivated by delivering high level service and support?

Bring your expertise, forward-thinking mentality, can do attitude and your ability to navigate in a fast-paced environment to support our Vice President of Social Responsibility!

No relocation assistance is offered for this position.

Core Responsibilities

  • Calendar management including time allocation for preparation and reflection and some inbox management

  • Proactive assessment of upcoming needs and workload challenges, suggesting solutions and taking appropriate actions

  • Coordination of Leadership Team meetings: preparing agendas and collecting pre-read material for meetings to ensure efficient meetings; maintaining action logs and following up on actions to ensure follow-through

  • Own Leadership Team SharePoint: ensure clear file structure with easy navigation

  • Support Global Core Processes to ensure VP is on top of and delivers on key processes - People, Finance & Comms plan (e.g. System support, PO support, track various spending etc.)

  • Coordination of travel arrangements (booking hotels, flights, etc.), incl. management of travel expenses

  • Handling of internal and external requests from various partners

  • Coordination of other Social Responsibility (SR) related events, workshops and activities, such as SR Matters, team meetings etc.

Do you have what it takes?

  • University degree in communication, linguistics, business Administration or equivalent experience

  • Advanced English skills, both written and spoken

  • Proven experience as an Executive Assistant for senior leaders within a global organization

  • Exceptional communication and collaboration skills and the ability to build relationships quickly and effectively, leaving a lasting impression on those you engage with

  • Proven ability to independently manage multiple priorities and prioritise own work

  • Strong track record of producing results and completing tasks within a given timeframe

  • Experience planning and delivering meetings and events

  • Being used to working with a diverse group of stakeholders

  • The ability to handle and maintain high-level of confidentiality

  • Proficiency in MS Office suites, especially Outlook, OneNote, SharePoint, PowerPoint
