Northampton County Clerical Technician 3 - Juvenile Probation in Easton, Pennsylvania

GENERAL PURPOSE The Clerical Technician 3 -- Juvenile Probation position is responsible for performing administrative and professional work for the Juvenile Court. The individual in this position independently prepares, carries out, and takes definitive action regarding processes and functions that are integral parts of the Juvenile Justice Center mission.

SUPERVISION RECEIVED This position reports directly to the Clerical Specialist/Office Manager.      SUPERVISION EXERCISED This position is not responsible for the supervision of other employees.

ESSENTIAL DUTIES OF THE POSITION Answers incoming phone calls, and directs to applicable staff.

Provides direction for visitors with regarding to security screening process.

Provides clerical support to the Juvenile Probation Officers in the form of letters, summons, intake notices, creation of new files, sorting and delivering mail, and filing of documents.

Serves as secondary resource, in the event of the absence of the Office Manager, for providing docketing and data entry services in both Common Pleas Case Management System (CPCMS) and Pennsylvania Juvenile Case Management System (PaJCMS). This role is also responsible for the scheduling and management of the Court's orders for the Dependency docket.

Processes confidential documentation and is bound by the Rules of Juvenile Court Procedure in the handling of this material.

Participates in cross training as necessary in order to develop areas of specialization.

EDUCATION & EXPERIENCE -- Completion of a high school, or general equivalency diploma; AND

At least one (1) year of general clerical work experience in an office environment is preferred.

*KNOWLEDGE, SKILLS, AND ABILITIES  * Knowledge of computers and computer software, including Microsoft Office applications. Ability to develop Excel spreadsheets and create formal correspondence in Microsoft Word.

Excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain mutual comfort level while relating to a diverse clientele, both verbally and in writing.

Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.

Ability to learn to use the necessary software specific to the Juvenile Justice Center.

Ability to establish and maintain filing and other recordkeeping systems.

Ability to preserve confidential and sensitive information.

Ability to maintain composure and tactfully handle sensitive situations

Ability to read, write, speak, understand and communicate in English to perform the duties of this position.

TOOLS AND EQUIPMENT Telephone, personal computer (including word processing and spreadsheet software), calculator, writing implements, fax machine, copy machine, and paper shredder.

PHYSICAL DEMANDS While performing the duties of this job, the employee is frequently required to walk, sit, talk or hear.

The employee must occasionally lift and/or move up to twenty-five (25) pounds.

The noise level in the work environment is generally quiet. The support staff are exposed to client and family foot traffic. There are rare occasions where the staff will be exposed to a client being taken into custody.
