Job Description

JOB TITLE: ADMINISTRATIVE/DENIALS ASSISTANT

MAIN FUNCTION:

The Administrative Assistant will provide support to the Continuum of Care Department (COC) in coordinating, negotiating, and procuring services and resources for the department.

DUTIES AND RESPONSIBILITIES:

**1. Schedules appointments/meetings and maintains calendars.

**2. Receives, opens and routes mail.

**3. Answers telephones, page staff, triage visitors, and communicate information effectively.

**4. Sends and receives faxes and distributes to appropriate people.

**5. Records, transcribes/processes and distributes minutes, correspondence, reports and other prepared material.

**6. Is responsible for computer data entry, tracking and retrieval of information and development of data reports.

  1. Scan/upload insurance remittance into eCW/Sorian for review. Bring any denial remittance to Director of Care Coordination or designee

  2. Logs denials on spreadsheets. Track all denial information to include wins vs decision upheld.

  3. Types all denial letter on letterhead, obtain PA signature, forward to medical records for processing

  4. Scans PRI/Screens and Care 1st notes to Quadramed.

  5. Arranges Departmental Committee, and other meetings as necessary to include room arrangements, arranging for food, audio-visual-needs, as well as agendas and packets for meetings.

12.Maintains Code 44 worksheet. Assists in coordination of patient D/C transportation.

13.Maintains adequate office supplies, supply of forms and anticipates the need for reordering.

  1. Establishes and maintains files.

  2. Acts as liaison between patients and their families, employees, and Management Team.

  3. Engages in special projects as requested.

  4. Has working knowledge of Word, Excel, Access, Outlook, Power Point, Intranet, Internet, HDM, and other computer software as needed.

  5. Maintains confidentiality of all Medical Center information.

  6. Demonstrates professional image, attitude and behaviors consistent with the philosophy of the Medical Center.

  7. Attends all annual mandatory educational programs as required by position.

  8. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with customer in order to provide a secure and pleasant experience with the Medical Center.

EDUCATION:

High school graduate with secretarial curriculum preferred.

EXPERIENCE:

Three years experience in administration assistant role or related field required.

CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

No CPR required.

PHYSICAL DEMANDS:

Routine office job. Light physical effort. Lifting of 15-20 lbs occasionally.

EXPOSURE CATEGORY:

Category III. Tasks that involve no exposure to blood, body fluids or tissues. Category I tasks are not a condition of employment.
