Your Specific Responsibilities:

This clerical position supports the Women, Infants & Children Program (WIC) within the Okaloosa County Health Department (OCHD). Duties require a high degree of accuracy and above average skills in working with data and figures.

Performs clerical duties as required. Remains knowledgeable of unit procedures and is able to convey appropriate information in a pleasant and business-like manner to the public and fellow staff members. Responsible for facilitating or providing language translation to clients. Answers the phone using proper telephone technique, routes calls to appropriate person, receives and delivers messages to staff. Provides information to the general public on how to apply for WIC benefits. Notifies clients of documentation needed for WIC appointments.

Documents and determines the financial eligibility of all clients according to established procedures. Enters data into the Florida Wise System. Takes new client information over the phone or in person and enters information into Florida Wise. Completes low risk second contacts and provides basic nutrition education. Schedules return visits to the Women, Infants & Children clinic for appropriate follow up. Ensures that all high-risk or medically high-risk clients are referred to the Licensed Dietitian. Refers clients for low-risk diet consult at time of certification.

Issues Women, Infants & Children benefits to qualified participants and prints cards for all clients. Issues seasonal Farmers Market Nutrition Program coupons to qualifying participants Reconciles all Farmers Market Nutrition Program coupons for Women, Infants & Children staff. Works with the Crestview Supervisor on the seasonal Farmers Market Nutrition Program logs, issuance, and reconciliation.

Serves as the lead role in Voter Registration duties and is responsible for on-going voter registration activities and maintaining a good working relationship with the county supervisor of elections office(s). Ensures that all completed voter registration forms are sent to the county supervisor of elections office within five calendar days after receipt.

Prepares travel authorizations and reimbursements for staff as required. Ensures that appropriate documentation is attached and accurate, and that prepared travel forms are submitted within the timeframes set by the Statewide Travel Management System. Works with Travel Expert and Travel Champion to resolve any issues with submissions.

Works with WIC leadership to maintain inventory and ordering of Local Agency Printed Materials. Responsible for Drive-Away kit to ensure it is fully stocked with all supplies and that the most up to date forms and manuals are printed and in place. Maintains a supply of paper certification forms for when the Florida Wise system is down. Participates in training and development activities to remaining knowledgeable in all program areas in order to provide appropriate information to public clients and fellow staff members.

Performs all other duties as assigned in support of the Agency’s mission and vision.

  • Provide excellent customer service to all internal and external customers.

  • Effectively communicate basic or non-technical information to coworkers and others.

  • Experience using computers and basic office equipment

  • Experience using Microsoft Office applications (Outlook, Teams, Word, Excel, PowerPoint) in a professional setting.
