TTA/Transitair seeks a highly motivated, proactive, and detail-oriented Executive Assistant. This job requires organization, attention to detail, effective written and verbal communication, and an aptitude for creating and following schedules. This may include administrative and clerical tasks such as placing phone calls, arranging travel, conferring with clients, and organizing and preparing spreadsheets and presentations. Various duties may also include assisting with Accounting and Human Resource functions as time allows. Will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Contract administration experience is a plus and would include proposal preparation, contract negotiation, terms and conditions, contract monitoring and customer contact activities to provide for proper contract acquisition and fulfillment in accordance with company policies, legal requirements, and customer specifications. Responsibilities: *Working with other departments to establish common goals. *Maintaining relationships with clients and customers. *Scheduling and managing complex calendars. *Drafting of project-related letters/emails. *Organizing multiple projects and services, with an initiative to take on special projects and tasks with the ability to prioritize and manage multiple projects simultaneously. *Human Resource functions include maintaining proper documentation, vacation/personal time, employee benefits, safety audits, on-the-job training documentation, and payroll processing. *Accounting functions would require the candidate to have strong quantitative and interpersonal skills, as well as proficiency in essential accounting functions and software programs. Duties include matching invoices to purchase orders, data entry in the accounting system, and reconciling bank statements. Requirements: *HS diploma or equivalent, Bachelor's degree preferred. *1-3 years previous experience. *Proficient computer skills including Microsoft Office Suite. *Experience providing strong administrative support to high-level executives. *Excellent analytical and time-management skills. *Good interpersonal skills and communication with all levels of management and departments. *Able to work in a diverse, fast-paced environment. *Highly motivated and organized team player. *Creative problem solver who thrives when presented with a challenge. *Able to analyze problems and strategize for better solutions. *Excellent verbal and written communication skills, including well-presented written materials and drafting/editing/proofreading ability. *Able to multitask, prioritize, and manage time efficiently. *Accurate and precise attention to detail. *Self-motivated and self-directed.
