Parsons Corporation Senior Document Control Manager in Riyadh, Saudi Arabia

Job Description:

Parsons is looking for an amazingly talented Senior Document Control Manager to join our team! In this role you will be responsible for Parsons’s Document Controls Management for SAPL Qiddiya Infrastructure Partner (QIDP). Responsible and accountable for ensuring that all work is in full coordination with Qiddiya Investment Company (QIC) and delivery partners. Reports directly to the Senior Quality Manager.

What You'll Be Doing:

  • Managing the Document Control team as well as assisting in the Document transmittal submittals in Aconex

  • Selects personnel for project assignments to fulfill client and project requirements. Establishes clear/concise work standards and goals. Provides training and development, reviews work produced, completes performance evaluations, conducts employee counseling, and takes corrective action as necessary.

  • Develops estimates and budgets of manpower requirements to meet project requirements. Plans for reassignment, growth, and reduction of work group as project requirements change.

  • Implements document/data management solutions with a primary focus on document control and records management. Administers data/document management applications.

  • Processes one or more document types through all procedural steps in accordance with well-defined procedures and guidelines. Ensures that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.

  • Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required. Enters data and produces reports using other standard office automation or department-specific computer applications. Initiates and replies to routine correspondence related to area of responsibility.

  • Keeps abreast of department technologies, techniques, and services relevant to area of responsibility. Works with other staff members as needed to develop and improve services. Responds to changing technology environment and participates in decision making activities relating to customers’ needs.

  • Provides assistance to users in capturing and locating electronic information.

  • Maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution. Expedites review, signature approval, and release of supplier and internally produced documents.

  • Verifies retention requirements, arranges document cataloging, packing, and long-term storage, or disposal of appropriate documents at time of closeout. Manages scheduled destruction of archived documents according to company and/or Client guidelines; provides assistance with document retrieval.

  • Assists junior document control staff to ensure effective implementation of project-specific procedures. Serves as liaison between support group, home office and field personnel. Interfaces with groups inside and outside the organization.

  • Proficient keyboard skills and a working knowledge of MS Windows and related word processing, spreadsheet, and database software is required. Good written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to interact effectively with project personnel and management.

  • Prepare the needed reports.

  • Ensures adherence to all corporate, contractual, ethics and safety standards, policies, and procedures.

  • Performs other responsibilities associated with this position as may be appropriate.

What Required Skills You'll Bring:

  • Degree in MIS or related discipline

  • Minimum 10 years’ experience in construction projects, specifically management experience across multi-disciplinary teams.

  • Strong communication skills in English, written and spoken.

  • Highly experienced in Aconex and Document Control Procedures

  • Demonstrated teamwork and management skills.

  • Proven experience of working within complex construction environment.

  • Ability to follow through & clearly deliver work instructions in a complex stakeholder environment.

  • Ability to work in a matrix organization (dual reporting). Ability to interact with senior-level management. Ability to consult, motivate, and negotiate effectively with client groups, co-workers, employees, vendors, and contractors.

What Desired Skills You'll Bring:

  • Advantageous to have extensive experience of significant PM/CM contracts.

  • nan Certified is a plus.
