What is BHARP?

The Behavioral Health Alliance of Rural Pennsylvania (BHARP) is a nonprofit organized to support the implementation of HealthChoices, Pennsylvania's managed care program for Medical Assistance recipients, in 24 rural Pennsylvania counties. The 24 counties include: Bradford, Sullivan, Cameron, Elk, Centre, Clarion, Clearfield, Jefferson, Columbia, Montour, Snyder, Union, Forest, Warren, Greene, Huntingdon, Mifflin, Juniata, McKean, Northumberland, Potter, Schuylkill, Tioga, and Wayne County. The organization is comprised of mental health and substance use disorder administrators from the member counties and is staffed by experienced, dedicated, and talented individuals.  BHARP's vision is to ensure that all individuals receiving behavioral health services in the BHARP region have access to a comprehensive array of high quality, cost effective, community based, and recovery-oriented services that maximize their potential for recovery.

What are we looking for?

Administrative Assistant

Under the direction of the HR Generalist, this position is primarily responsible for providing administrative support to BHARP operations staff as well as back up support for other departments as needed.   The Administrative Assistant is also responsible for designing and reviewing public relations and marketing materials such as social media posts and newsletters.

This is an in-office position with the requirement to come into the BHARP office, located in State College, PA.

The primary duties for this position will include:

  1. Screen and direct incoming phone calls, and carry out essential office duties (filing, copying, mail, travel arrangements, supply inventory and ordering, etc.).
  2. Assist the operations staff with meetings and communications including document processing, scheduling, virtual platform and in person venue support as needed. Prepare meeting room and technology for hybrid and virtual meetings, as assigned.
  3. Prepare communication, such as memos, emails, invoices, correspondence, document preparations and support to the operations team. Provide back-up support for other departments as needed.
  4. Act as the BHARP Fleet Manager. Manage the BHARP company-owned vehicle program including scheduling and documenting services such as repairs, maintenance, recalls, vehicle registrations, inspections.
  5. Maintain and complete all purchase requisitions for employees and process all new inventory as it arrives. Assist IT in managing and tracking all BHARP inventory.
  6. Manage and oversee assigned financial budgets on a monthly and annual basis and as requested by management.
  7. Assist operations staff in project management including due dates, calendars, meeting minutes, etc. as required. Review written documentation to ensure that it uses language that is easily understood by members and stakeholders.
  8. Responsible for the design and distribution of a BHARP quarterly newsletter. This includes coordinating with the BHARP team to develop content.
  9. Maintain BHARP's social media accounts, including content creation and curation to ensure a consistent and high-quality online presence.
  10. Manage and edit content on the BHARP website as requested by management. Collaborate with BHARP's third party vendor to ensure the website's functionality and design meet user needs and enhance the overall user experience.
  11. Other duties as assigned by the HR Generalist or management.

  • Bachelor's Degree preferred, associate degree or equivalent combination of training and experience.
  • Functional knowledge of software applications including Microsoft Office Suite and Canva.
  • Minimum three years of experience as an administrative assistant with vital duties in a Healthcare setting, behavioral health preferred.
  • Experience creating and implementing social media for marketing and outreach is a bonus.
  • Comfortable independently perf rming multifaceted projects in conjunction with day-to-day activities.
  • Ability to get along with diverse personalities, tactful, mature, and flexible.
  • Sound judgment and reasoning abilities.
  • Excellent writing, editing, and proofreading skills, with a keen eye for detail and accuracy.
  • Strong communication skills, positive attitude, and change oriented.
  • Ability to be resourceful and well-organized.

Due to the nature of our work, it is required to have certain licenses or clearances.  These include:

  • Valid Pennsylvania driver's license and automobile
  • Medicaid exclusion check
  • Clearances: Child Abuse History, Criminal Record Check, DMV Record Check, FBI fingerprinting
  • Immigration and naturalization (I-9) clearance
