Our Organization and Mission

The Division of Drugs, Devices and Cosmetics (DDC) regulates under provisions of the Florida Drug and Cosmetic Act (Chapter 499, F.S.) by licensing, registering, inspecting, and investigating the manufacturing, distributing, and sale of drugs, medical gases, and cosmetics in the State of Florida. The Program carries out its responsibilities through three bureaus: Compliance & Enforcement, Licensing, and Legal.

Your Specific Responsibilities:

This is a career service position assigned to the Tallahassee Headquarters. The selected applicant will:

  • Ensure the accurate and timely submission of the Division’s performance measures, which will be reported to the Division Director and the Department’s Chief Performance Officer (CPO).

  • Research and evaluate data anomalies and outliers in monthly performance measure reports and provide findings and recommendations to the Division Director prior to the Deadline set by the CPO.

  • Manage the information/data needs, which includes completing scheduled reports, responding to report requests from internal and external customers and ensuring the integrity of the data collected.

  • Serve as the liaison between the Division of Technology.

  • Assist the Division Director with determining the technological needs of the Division.

  • Implement and support technological changes within the Division and enhancements to the Department’s databases, portal, and IVR.

  • Track the progress of technical support issues and ensure that technical support issues are resolved.

  • Maintain the internet and intranet web pages for the program by making necessary additions, deletions, or corrections.

  • Manage project tasks to achieve a successful integration of new technology and business practices.

  • Reviews and updates the program's required forms and applications, making suggestions for improvements and streamlining processes as needed.

  • Train new employees on any technology-related programs or software.

  • Coordinate the testing and implementation of new programs.

  • Create, remove, and modify program forms, form packages, and related portal forms.

  • Assist departmental management and legal staff in the development of cases.

  • Serve as backup to the Administrative Assistant III and receive, analyze, and process complaints, as well as maintain the complaint management system as needed.

  • Conducted, prepared, and reviewed reports, studies, publications, and research relating to operational trends and strategic program objectives.

  • Ensure that help/remedy tickets are submitted to the Division of Technology, tracked, and followed up on within the set timeframes.

  • Track the progress of help/remedy tickets and provide the Division Director with a weekly written report reflecting their status.

  • Manage the Division’s responsibilities related to all areas associated with Controlled Substance Reporting (CSR).

  • Perform other related duties as assigned.

    Required Knowledge, Skills & Abilities:

  • Knowledge of the concepts and theories of data processing.

  • Knowledge of the principles, practices, and techniques of computer programming and systems analysis.

  • Knowledge of project control and resource estimating techniques.

  • Knowledge of operating systems and telecommunications concepts.

  • Knowledge of mathematics.

  • Knowledge of base numbering systems.

  • Knowledge of computer operations procedures and systems.

  • Knowledge of computer programming languages.

  • Ability to develop various reports, including technical data processing reports.

  • Ability to interpret technical information relating to computer programming and other areas of data processing.

  • Ability to perform mathematical calculations.

  • Ability to plan, organize, and coordinate work assignments.

  • Ability to communicate technical data processing information effectively.

  • Ability to establish and maintain effective working relationships with others.

  • Ability to understand and apply applicable rules, regulations, policies, and procedures.

    Minimum Requirements:

  • At least 2 years of experience using and/or familiarity with Apple products (i.e., iPad’s, iPhones),

  • At least 2 years of working knowledge of MS Office Suite (i.e., Word, Excel, and Outlook) and,

  • At least 1 year of experience updating and/or creating websites.
